Searching an Executive Assistant & Project Manager
- Remote work from Home Office
- Also possible to work in one of our EU offices in Salzburg, Munich or Berlin
- Direct employment (Austria or Germany) or contracting
Your tasks and responsibilities
- Assisting CEO (and later also other C-level managers)
- Appointment coordination
- Contacting people regarding availabilities
- Optional: travel planning (I am used to plan travels myself but that should probably change)
- Controlling & reporting (using Excel and Google Sheets)
- Checking team timesheets of contractors and employees
- Controlling of revenues and costs
- Managing the company forecast
- Coordination of yearly budget planning
- Project management and coordination for
- Strategic projects of CEO (eg. IP protection, etc)
- Grants in Salzburg, Austria and EU
- Our relationship to financial advisor M27 (AT and EU grants)
- Payments
- Paying invoices via our bank and debit/credit cards
- Downloading invoices for services we are using
Collecting money from our customers
- Preparation for bookkeeping (our tax consultancy company)
- Making sure all data for our bookkeeping are prepared
- Interface to bookkeeping and tax consultant
- Managing legal contracts
- Making sure we have contracts and NDAs signed for partners, contractors and employees
Your skills
- German and English speaking and writing (bilingual or fluent)
- Very organized and structured
- Good communicator
- Economic education
